The CGCE of Santa Fe is a professional and collegiate entity dedicated to grouping, representing, and regulating public accountants, economists, and advanced students, promoting the technical, legal, and union development of its members.

Gradual, cultural, and technological digital transformation.

Based on a digital diagnosis, CGCE defined a gradual transformation strategy that included migration to Google Workspace, automation of communication with integrated metrics, internal training, the development of an in-house system to manage training and loans, and the creation of its institutional website. Control dashboards were also implemented to analyze member behavior, optimize the services offered, and strengthen efficiency, internal control, and institutional transparency.

Issues to address

  • Fragmented communication channels, without metrics to evaluate the reach and effectiveness of the messages.

  • Manual administrative processes, with high operational load and risk of errors.

  • Lack of integration between existing systems, hindering traceability of management and services.

  • Absence of tools to understand and analyze member behavior.

Analysis and improvement.

Notably, the analysis and improvement possibilities provided by all the digital tools began to be leveraged and incorporated into the organization. For example, they analyzed the time when emails had the highest open rates, which courses received the most views, and which images on social media were the most well-received by members. To this day, they continue on the path of professionalizing data analysis.

Collaborative work

By the end of 2018, we successfully acquired the Google Suite license for the entire organization. This marked a dramatic shift in the way we worked, moving to a 100% collaborative approach among employees. Among the implementations was the use of Gmail as the email service, with all the features it offers. We began working collaboratively through Google Drive Suite, and cloud storage became the sole backup system. It should be noted that this process was gradual and took several months, including the migration of emails, files, and the adoption of the suite of tools offered by Google Suite.

Training

As mentioned earlier, the organization had low technological literacy, and there was somewhat of a resistance from the more experienced staff. Through continuous training, not only on technological tools but also on new ways of working and support, this resistance gradually decreased. Today, it could be said that they possess certain aspects of an agile organization.

As of the time of writing this article, those who, from one perspective, had the most resistance to change are now the ones proposing improvements for the organization. This demonstrates the importance of ensuring that digital transformation processes are supported by all staff members, not only by the executives who must lead the change but also by the staff who are involved in day-to-day activities.

One of the main services offered by the organization is top-tier training for its members. Simplifying the management of this service is crucial to staying connected and providing better and more services over time.

To achieve this, the organization is developing and implementing a computer system that allows for comprehensive management of the events held at the College of Graduates in Economic Sciences.
